- Confirm measured footprint, boundaries, levels and any access restrictions.
- List the exact material, dimensions, grade, finish and product coverage.
- Separate purchased quantity, cuts, spills, compaction and surplus.
- Ask whether delivery, unloading, minimum order and tax are included.
- For installation, separate excavation, disposal, base preparation, drainage, labor and restoration.
- Identify permits, utility location and any required engineering.
- Record quote validity, lead time, returns, payment schedule and warranty in writing.

Resolve these mismatches before comparing prices
Volume versus mass: ask for the supplier’s product-specific conversion if one quote uses yards and another uses tons. Installed versus delivered: confirm whether compaction and waste are already in the quantity. Minimum purchases: record full packs, pallet coverage, minimum loads and truck increments.
Scope: a preparation rate may include base materials, bedding and excavation, or only some of them. Ask for an explicit list. Access: curbside unloading differs from moving material to a back garden. Changes: ask how added depth, poor ground or concealed obstructions would be priced.
Keep a decision record
Record the quote date and reference, product designation, confirmed quantities, inclusions, exclusions and the questions still unanswered. A lower subtotal is meaningful only when the purchase and work are comparable. This worksheet is a discussion aid; the supplier’s written terms govern the quote.
